Job Description

Administrative Support:

  • Manage office correspondence, including emails, phone calls, and mail.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.
  • Prepare and distribute memos, reports, and other documents as required.

Office Management:

  • Maintain office supplies inventory and order new supplies as needed.
  • Ensure the office is clean, organized, and well-maintained.
  • Oversee the maintenance of office equipment and coordinate repairs as necessary.

Data Management:

  • Maintain accurate and up-to-date records and files.
  • Enter and update data in office databases and systems.
  • Prepare and manage documents and spreadsheets.

Financial Administration:

  • Assist with basic bookkeeping tasks, such as processing invoices and tracking expenses.
  • Manage petty cash and reconcile expense reports.
  • Support the preparation of financial reports and budgets.

Human Resources Support:

  • Assist with the on-boarding process for new employees.
  • Maintain employee records and manage staff attendance and leave.
  • Coordinate staff training sessions and meetings.

Customer Service:

  • Greet and assist visitors in a professional and friendly manner.
  • Handle inquiries and provide information about the company’s services and policies.
  • Address and resolve basic customer complaints and issues.

Project Coordination:

  • Assist in the planning and execution of company events and projects.
  • Collaborate with various departments to ensure project timelines are met.
  • Monitor project progress and provide updates to management.

MUST READ:

Qualifications

  • High school diploma or equivalent; a bachelor’s degree in Business Administration or a related field is preferred.

Experience

  • Proven experience as an Office Administrator, Administrative Assistant, or in a similar role.

Skills

  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management procedures and basic accounting principles.
  • Ability to handle office equipment (e.g., printers, scanners, and fax machines).
