Job Description
Inspire Action has a full-time role available for a highly efficient, proactive, committed and thoughtful Office Assistant – Intern to support the operations of our newly setup Accra Secretariat office.

This position is an opportunity for fresh Bachelor Degree/Equivalent graduates or graduates with a maximum professional experience of one year to acquire the necessary skills enabling them to build a base for their future professional careers. ONLY citizens of the Republic of Ghana shall be considered. The duration of this internship shall be three (03) months renewable once, renewal is subject to performance and availability of funding. A monthly stipend shall be provided to the incumbent intern to support their livelihood.
This position carries no expectation to retain the incumbent intern on a permanent position within the organization.
The selected candidate will provide administrative, clerical, and some logistic support to the management team. They shall receive on the job training for the job requirements and must be open to learning and be able to effectively communicate in both English and Pidgin.

Responsibilities:
The Office Assistant – Intern will be a quick learner, adaptable to a fast changing environment and will be able to maintain flexibility in their role. The key responsibilities are, though not limited to:
- Provide clerical support by entering, formatting, and printing information; maintaining equipment and supplies.
- Schedule and plan meetings and appointments and take detailed minutes.
- Organize the office and assist managers in ways that optimize business operations.
- Draft business correspondences including, but not limited to reports, emails, and letters. Confidentiality of the organization’s information must be maintained and documents filed stored appropriately.
- Organize and maintain all office systems, including record-keeping and filing of important documents in a bid to ensure efficiency of business operations.
- Sort and distribute communications in a timely manner
- Perform receptionist duties including, but not limited to attending to incoming phone calls, taking messages and directing calls to the appropriate person. This will also include answering inquiries from callers or visitors.
- Provide information by collecting time and attendance records.

- Create and update records ensuring accuracy and validity of information
- Resolve office-related malfunctions and respond to requests or issues
- Run the organization’s errands when needed to ensure that business operations remain seamless.

Required Skills or Experience
Required:
- Bachelor’s Degree degree in Administration, Business, Public Administration or related field.
- No experience is required, but a maximum of one (1) year relevant professional experience in a similar position may be considered.
- Adept and excellent capacity of retaining new concepts.
- Dependable and have the ability to uphold a strict level of confidentiality in all aspects of the job.

- Computer literacy.
- Good working knowledge of the suite of Microsoft Office applications such as MS Word, Excel, PowerPoint and Outlook.
- Excellent verbal and written communication skills.
