Job Description
Administrative Support:
- Manage office correspondence, including emails, phone calls, and mail.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff.
- Prepare and distribute memos, reports, and other documents as required.
Office Management:
- Maintain office supplies inventory and order new supplies as needed.
- Ensure the office is clean, organized, and well-maintained.
- Oversee the maintenance of office equipment and coordinate repairs as necessary.
Data Management:
- Maintain accurate and up-to-date records and files.
- Enter and update data in office databases and systems.
- Prepare and manage documents and spreadsheets.
Financial Administration:
- Assist with basic bookkeeping tasks, such as processing invoices and tracking expenses.
- Manage petty cash and reconcile expense reports.
- Support the preparation of financial reports and budgets.
Human Resources Support:
- Assist with the on-boarding process for new employees.
- Maintain employee records and manage staff attendance and leave.
- Coordinate staff training sessions and meetings.
Customer Service:
- Greet and assist visitors in a professional and friendly manner.
- Handle inquiries and provide information about the company’s services and policies.
- Address and resolve basic customer complaints and issues.
Project Coordination:
- Assist in the planning and execution of company events and projects.
- Collaborate with various departments to ensure project timelines are met.
- Monitor project progress and provide updates to management.

Qualifications
- High school diploma or equivalent; a bachelor’s degree in Business Administration or a related field is preferred.
Experience
- Proven experience as an Office Administrator, Administrative Assistant, or in a similar role.
Skills
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management procedures and basic accounting principles.
- Ability to handle office equipment (e.g., printers, scanners, and fax machines).
