Job Description
Main Responsibilities
Accounting & Financial Reporting:
- Ensuring that funds are spent and managed according to the goals, financial policies, objectives, and mission of Ubora Institute and its partners.

- Vetting all requests made in connection with the Ubora Institute and its partners.
- Disseminate to team members any changes to the accounting and finance policies of the organization.
- Plan and assign the day-to-day tasks to be carried out by the finance and operations unit.
- Ensuring that all financial transactions recorded are accurate and in accordance with IPSAS standards.
- Review financial transactions entered in the QuickBooks accounting system for accuracy and suggest adjustments where necessary.
- Preparing monthly financial reports to donors, management, and the Board.
- Preparing year-end management accounts for external audits.

Payroll & Budgeting
- Preparing monthly staff payroll and faculty payments due subject to the accurate requirements of the tax and pension authorities’ standards.
- Preparing annual organizational budgets for Board approval.
- Monitor, track, and report the budget and cash flow status of projects periodically.
- Liaise with technical teams to prepare budgets in response to proposals to be submitted in response to RFPs as a member of the new business team.
Compliance & Procurement
- Prepare and submit monthly statutory payments for staff and suppliers to the Ghana Revenue Authority (GRA), Social Security and National Insurance Trust (SSNIT),Tier 2 Trustee, and relevant bodies on a timely basis.

- Prepare and submit timely annual statutory tax and organizational returns to GRA, the Registrar General’s Department, and relevant local and international bodies.
- Prepare all requirements and liaise with project team leads to submit documentation for the renewal of the organization’s social welfare, municipal, PPA, and Data commission certificates periodically.
- Liaise with donor finance teams periodically to ensure continuous compliance with donor requirements.
- Ensure that partner/donor deadlines for financial reporting, contracts, and administrative compliance are met.
- Ensure there are adequate internal controls to safeguard the organization’s assets.
- Coordinate the sourcing of invoices and support the selection of vendors/suppliers on all procurements.

Management & Supervision
- Working together with the Executive Director to set and achieve the strategic goals of the organization.
- Translating annually, the strategic organization goals into actionable day-to-day plans by the finance and operations team.
- Supervise the work of the finance and accounts, Human resources, IT, and operations teams and contractors.
- Periodically appraise the work of supervisees.
Operations
- Review and discuss contracts with new partners /donors.
- Ensure that the organization’s premises, assets, workstations, and work environment are in good working conditions.
- Liaise with the operations and project leads/coordinators to arrange official travels for all staff and faculty.
- Lead the onboarding of new staff, partners, and consultants.
